How to edit text in a PDF
You don't have to go back to the original file to fix a typo or a date. Here's how to change text directly inside the PDF.
Fix it in a minute
- Open your PDF in the PdfMonster editor. The file isn't uploaded; it's processed inside your browser.
- Make sure Edit text is selected in the toolbar (shortcut E). Hover over the page and editable lines are highlighted.
- Click a line and an input box opens right on top of it. Make your change and press Enter. Press Esc to cancel.
- If you don't like the result, press Ctrl+Z to undo.
- When you're finished, press Download.
How does the edit match the original?
A PDF doesn't store text as “lines”. It stores small pieces, each with a font, a position and a size. Many editors delete the whole line and write it again in a new font, so the edited part ends up with a different weight or size. PdfMonster tries to match the original in these steps:
- Replace only what changed — not the whole line. Characters after your edit are shifted by just the amount the text grew or shrank.
- Reuse the original font — if the font embedded in the PDF has the glyph you need, it is used as is.
- Substitute only what's missing — characters the original font doesn't contain are drawn with Noto Sans / Noto Serif. We measure the stroke weight of the surrounding text to pick a similar weight, and choose sans or serif to match.
- Fit the width — if the line gets longer, it's squeezed horizontally by up to 15% to stay inside the line's end, and you're warned if it still doesn't fit.
Tips for fewer mismatches
- Keep the length similar. Changing a word to a similar-length word is nearly invisible; doubling the length of a line makes it noticeably narrower.
- If there is no room at the right end of the line, split your change over two lines yourself.
- Keep text inside a table cell within the cell's width; cell borders don't grow automatically.
- The “Text edit history” below the page shows what you changed and whether a substitute font was used.
When editing doesn't work
| Symptom | Reason and fix |
|---|---|
| No line is highlighted | The PDF is a scan, where the text is a picture. You can't edit it, but you can add text and cover the old text with a white rectangle. |
| “Text-line editing is not available on rotated pages” | In-place editing isn't supported on rotated pages. Rotate the page back in the page list first. |
| Warning about missing characters | Some characters, such as rare symbols, aren't in either font and may not show. Try another character. |
| The file won't open | Encrypted or damaged PDFs, or files larger than 60 MB, may not open. |
Always reopen the downloaded file and check it. For contracts and other important documents, keep a separate record that the document was edited.
